Privacy Policy

Effective Date: January 5, 2026  ·  Last Revised: March 1, 2026

This policy describes how MyCourtDocs collects, uses, stores, and protects your information. We are committed to transparency and your right to control your data.

Table of Contents

1. Information We Collect

MyCourtDocs ("we," "our," or "us") collects information necessary to provide and improve our documentation platform. We collect information in the following categories:

1.1 Account Data

When you create an account, we collect your name, email address, and authentication credentials. If you subscribe to a paid plan, we collect billing information through our payment processor (Stripe) — we do not store full credit card numbers on our servers.

1.2 Documentation Entries

We store the custody-related documentation you create within the Platform, including incident logs, timeline entries, notes, communications records, court hearing details, compliance records, and any other case-related entries you choose to input.

1.3 Uploaded Files

We store files you upload to the Platform, including photographs, videos, audio recordings, PDFs, and other documents. Files are stored in private, user-scoped storage and are accessible only to you and professionals you explicitly authorize.

1.4 Device & Usage Data

We automatically collect certain technical information when you access the Platform, including:

  • Device type, operating system, and browser version
  • IP address and approximate geographic location
  • Pages viewed, features used, and session duration
  • Referring URLs and navigation patterns
  • Error logs and performance data

1.5 AI Interaction Data

When you use AI-powered features (such as the Case Assistant, documentation summaries, or pattern analysis), we process the prompts you submit and the responses generated. This data is used solely to provide the requested functionality and is not retained for model training purposes.

2. How We Use Information

We use the information we collect for the following purposes:

2.1 Provide & Operate the Service

To create and manage your account, store your documentation, generate exports, facilitate professional sharing, process payments, and deliver the core functionality of the Platform.

2.2 Improve the Platform

To analyze usage patterns, identify technical issues, test new features, and improve the overall user experience. We use aggregated, anonymized data for this purpose — never individual case content.

2.3 Security Monitoring

To detect, prevent, and respond to security threats, unauthorized access, fraud, and other harmful activity. This includes monitoring for unusual login patterns, automated access attempts, and potential data breaches.

2.4 AI-Generated Summaries & Analysis

To power AI features that help you organize, categorize, and summarize your documentation. AI processing occurs in real-time using your data to generate outputs for your immediate use. Your personal data is never used to train AI models.

2.5 Communications

To send you essential service communications including account notifications, security alerts, billing confirmations, and policy updates. We do not send unsolicited marketing emails without your explicit consent.

3. AI Data Use Transparency

Our AI Data Commitment

We believe transparency about AI data practices is fundamental — especially when handling sensitive custody documentation.

3.1 No Sale of Data

MyCourtDocs does not sell, rent, license, or trade your personal data, case documentation, or any user-generated content to any third party for any purpose. This applies to all data, including data processed by AI features.

3.2 No Third-Party AI Training

Your personal data, case documentation, uploaded files, communications, and AI interaction history are never used to train third-party or proprietary AI models. AI features process your data transiently to generate real-time outputs. No user data is retained in AI training datasets.

3.3 AI Output Accuracy

AI-generated content — including summaries, categorizations, pattern analyses, and suggestions — is produced algorithmically and may contain errors, omissions, or inaccuracies. All AI outputs are labeled as AI-generated and carry a disclaimer. You should always review AI-generated content for accuracy before relying on it.

4. Data Sharing

We share your information only in the following limited circumstances:

4.1 Service Providers

We engage trusted third-party service providers to help operate the Platform. These providers are contractually bound to use your data only for the specific services they provide to us:

  • Payment Processing: Stripe processes subscription payments. Stripe's use of your data is governed by their own privacy policy.
  • Infrastructure & Hosting: Our hosting providers store and serve your data under strict security and confidentiality agreements.
  • Analytics: We use privacy-respecting analytics tools to understand Platform usage patterns. Analytics data is aggregated and does not include case content.

4.2 Professional Sharing (User-Directed)

When you share case data with an attorney, therapist, or other professional through the Platform, that data is accessible to the invited professional in accordance with their access permissions. This sharing is initiated and controlled entirely by you.

4.3 Legal Compliance

We may disclose your information if required by law, regulation, subpoena, court order, or other valid legal process. Where legally permitted, we will make reasonable efforts to notify you prior to disclosure.

4.4 No Data Sales

We do not sell your personal information. For purposes of the California Consumer Privacy Act (CCPA) and similar state privacy laws, MyCourtDocs does not engage in the "sale" of personal information as defined by those statutes.

5. Data Retention

5.1 Active Subscription

While your subscription is active, all account data, case documentation, uploaded files, and associated records are retained and fully accessible through the Platform.

5.2 Post-Cancellation Retention

After subscription cancellation or expiration, your data is retained in a read-only state for six (6) months. During this window, you may reactivate your account to regain full access or request a data export.

5.3 Permanent Deletion

After the 6-month retention window, or upon your explicit deletion request, we initiate permanent deletion of all personal data, case documentation, and uploaded files. Deletion from primary systems occurs within 30 days. Data in encrypted backup systems is permanently removed within 90 days.

5.4 Exceptions

Certain data may be retained beyond these periods where required by law, regulation, or ongoing legal proceedings. Anonymized, aggregated data that does not identify you may be retained indefinitely for analytical purposes.

6. Security Measures

We implement robust security measures to protect your data:

6.1 Encryption

All data is encrypted in transit using TLS 1.3 and at rest using AES-256 encryption. File uploads are stored in encrypted, user-scoped private storage accessible only through time-limited signed URLs.

6.2 Access Controls

We enforce role-based access controls across the Platform. All database tables are protected by row-level security (RLS) policies ensuring users can only access their own data. Administrative access to production systems is restricted, logged, and audited.

6.3 Infrastructure Security

The Platform is hosted on secure, professionally managed infrastructure with automated security patching, intrusion detection, and distributed denial-of-service (DDoS) protection. We conduct regular security assessments and address identified vulnerabilities promptly.

6.4 Limitations

No system is completely secure. While we strive to protect your data using commercially reasonable measures, we cannot guarantee absolute security. You are responsible for maintaining the security of your account credentials and devices.

7. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal data:

Access

Request a copy of the personal data we hold about you

Correction

Request correction of inaccurate or incomplete data

Deletion

Request permanent deletion of your personal data

Data Export

Receive your data in a portable, machine-readable format

Objection

Object to specific processing activities

Restriction

7.1 California Residents (CCPA)

If you are a California resident, you have the right to: (a) know what personal information we collect, use, and disclose; (b) request deletion of your personal information; (c) opt out of the sale of personal information (MyCourtDocs does not sell personal information); and (d) not be discriminated against for exercising your privacy rights.

7.2 How to Exercise Your Rights

To exercise any of these rights, contact us at support@mycourtdocs.com. We will respond to verified requests within 30 days (or 45 days for complex requests, with notice).

8. Children's Data

MyCourtDocs is designed for use by adults and is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13 in compliance with the Children's Online Privacy Protection Act (COPPA).

While the Platform may be used to document information about children in the context of custody matters, the account holder (parent or professional) is responsible for all data entered. Children do not create accounts on or directly interact with the Platform.

If we become aware that we have inadvertently collected personal information from a child under 13, we will take immediate steps to delete such information. If you believe a child under 13 has provided personal information to us, please contact us at support@mycourtdocs.com.
